Dear AU community, 

As the university will be closed on Monday, January 20 to commemorate Martin Luther King, Jr. and Inauguration Day, we would like to share important reminders to ensure timely and accurate payment, as well as what to expect regarding the upcoming release of tax documents. Time Entry Due Dates for Biweekly Employees and Supervisors 

  • All biweekly employees should submit their time for pay period January 4 – 17 by the end of day on Friday, January 17.  
  • Supervisor approvals must be completed before 11 a.m., Tuesday, January 21.    
  • Time Entry reopens on Thursday, January 23. At that time, any missed hours may be added and approved. Please note, corrections to Time Entry after 11 a.m. Tuesday, January 21 will be added to the following pay cycle. 

Holiday Pay Information for Biweekly Employees 

  • Full-time hourly employees will have the holiday added automatically in Workday. No Time Off Entry is required.   
  • Essential full-time hourly employees who work on the January 20 holiday should record their hours worked in Workday Time Entry. Holiday pay will be added automatically.  
    • Essential staff are personnel with critical campus operations responsibilities.  
    • If staff have questions about whether their work is essential, they should check with their department head.  
  • Part-time employees must have prior approval to work on the holiday. 

W-2 Update for All Employees Who Worked in 2024 

  • The Payroll Office is preparing W-2s, which will be released later this month (no later than January 31).   
  • A separate message will be emailed once the forms are available in Workday, with download instructions.
